Where you attend one of our events as a delegate, we may collect and process the following data about you (collectively, “Delegate Data”):
• Information that you provide by filling in forms on www.pi.tv (our site). This includes information provided at the time of registering to use our site, subscribing to our service (including any event apps) or requesting further services. Such information may include:
o full name;
o job title;
o company name and address;
o email address;
o phone number; and
o mobile number.
• We may ask you for information when you report a problem with our site;
• If you contact us, we may keep a record of that correspondence;
• We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them. The survey information collected will vary depending on the relevant event;
• Details of your visits to our site including, but not limited to, traffic data, location data, weblogs, operating system, browser usage and other communication data, whether this is required for our own billing purposes or otherwise and the resources that you access;
• If you make use of one of our event apps, any information that you input such as conference session ratings, feedback as well as your personal itinerary;
• Whilst attending events, personal data in the form of photographs and videos that may be recorded during the event; and
• Financial information in relation to any bookings you have made to attend our events.
Where you attend an event as a representative of a sponsor, vendor or solution provider of an event, we may collect and process the following data about you (collectively, “Sponsor Data”):
• Information that you provide by filling in forms on our site. This includes information provided at the time of registering to use our site, subscribing to our service (including any event apps) or requesting further services. Such information may include:

PI Apparel Executive Dinners
When you register for one of our executive dinners and your attendance is confirmed based on availability, the following information: name, job title, company, and contact details will be shared with the respective dinner host. This is to facilitate the planning and coordination of the dinner event, and to enable networking beyond the conclusion of the dinner. Furthermore, if you are a member of our community app, PI Apparel Connect, you will automatically be added to a dedicated networking group specifically created for attendees of that dinner. This group aims to foster enhanced networking and communication among the dinner participants.
By signing up for our executive dinners, you acknowledge and consent to the aforementioned use of your personal data. We prioritize your privacy and ensure that this data is only used for the aforementioned purposes, ensuring a seamless and enriching experience for our executive dinner attendees. If you have any queries or concerns regarding this, please feel free to reach out to our data protection officer or customer support team.
2. WHERE WE STORE YOUR PERSONAL DATA
The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.
All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

3. USES MADE OF THE INFORMATION
Delegate Data, Sponsor Data and Member Data are used in the following ways:
• To produce ID cards for use at our events;
• To share with other event attendees via our event apps in order to facilitate networking, meeting and session selection at events;
• In order for session moderators to identify those individuals that have enrolled on their session;
• To ensure that content from our site is presented in the most effective manner for you and for your computer;
• To provide you with information, products or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes;
• To carry out our obligations arising from any contracts entered into between you and us;
• To allow you to participate in interactive features of our service, when you choose to do so;
• To notify you about changes to our service; and
• In relation to photographs and videos recorded at events, to share with event attendees and publicise such events.
We may also use your data to provide you with information about goods and services which may be of interest to you.
In addition to the above uses, Member Data is also used in the following ways:
• To help us:
o prioritise future content on our site which will be available to members;
o provide members with more relevant content; and
o inform our event content.
If you do not want us to use your data in this way, please tick the relevant box situated on the form on which we collect your data.
4. DISCLOSURE OF YOUR INFORMATION
We will never sell your information to third parties. However, there are limited circumstances where we share your details, such as:
• Where you attend one of our events as a delegate or a representative of a sponsor, vendor or solution provider, we will share your name, job title and company (and, where applicable, survey information) with other attendees of that event via our event app, in order to facilitate networking, and meeting and session selection at events;
• Where you attend one of our events as a delegate or a representative of a sponsor, vendor or solution provider, we will share your name, job title and company (and, where applicable, survey information) with session moderators of certain event sessions who wish to know who has signed up to their session;
• With website hosting partners and other parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential;
• When we believe release is appropriate to comply with the law, enforce our site policies, or protect ours or others' rights, property, or safety; and
• For the purposes of providing you with a specific service, such as an event app. For example, bespoke networking at conferences that requires other participants to have visibility of those they are networking with.
5. RECORDING AND USE OF LIKENESS
By attending or participating in any PI Apparel event, whether virtual or in-person, you consent to the recording of your likeness, voice, and contributions. These recordings may include video, audio, and photographs taken during the event.
Use of Recordings
PI Apparel may use these recordings for the following purposes:
- Full event recordings may be shared on public platforms, such as YouTube.
- Excerpts or snippets may be shared on social media platforms, including but not limited to Instagram and TikTok.
- Recordings may also be used in marketing materials, promotional content, or for future event promotion across digital and print media.
- Recordings may be shared with our event sponsors and partners for their own promotional use.
Third-Party Platforms
Please note that any recordings shared on third-party platforms (e.g., YouTube, Instagram, TikTok) are subject to the respective privacy policies of those platforms. We encourage you to review the privacy policies of these services to understand how they collect, use, and process your data.
Retention and Sharing
Recordings will be retained by PI Apparel for as long as necessary to fulfill the purposes described above or as required by law. We may share recordings with third parties, including sponsors, partners, and media platforms, for purposes consistent with our business goals.
Opt-Out of Recordings
If you do not wish to be recorded, please inform the event organizers in advance. In some cases, we may be able to accommodate requests, such as seating you in a designated non-recording area or providing other arrangements where feasible. However, full opt-out from event-wide recordings may not always be possible.
